2. Purpose and legal grounds for processing personal data

Personal data is processed for the management, administration, analysis and development of the relationship, such as:

  • Maintenance of user data

  • Carrying out tasks authorised by users, such as sending invoices, paying salaries, handling insurance matters, debt collection.

  • Surveys, such as customer satisfaction surveys

  • To fulfil obligations under the law and in accordance with the regulations and instructions of the authorities, such as the management of tax matters.

The processing of personal data is based on a contract or a legitimate interest of Odeal Oy. Personal data may also be used for marketing purposes by Odeal Oy, unless the user has prohibited the use of his/her data for direct marketing. Users are profiled and personal data may be used to make decisions based on automated processing, such as the targeted provision of additional services.

 

3. Data content of the register

The following information is stored in the register:

  • Name

  • Contact information (phone number, street address and email address)

  • Age

  • Sex

  • Profession

  • Social ID

  • Citizenship and work permit details, if applicable

  • Tax information

  • Possible enforcement information

  • Information relating to payment of wages

  • Customer-related information, such as information on mandates authorised by the customer

  • Necessary identification and technical usage data related to customer transactions, such as customer service call logs, cookies and log data, location data related to travel reimbursements.

  • A copy of your identity card, if necessary

 

4. Regular sources of information

As a rule, we collect personal data from the data subject. Personal data is also collected and updated from the authorities providing services concerning personal data. As a rule, we collect personal data from the data subject or from an employer who has given us the right to process and keep a register of personal data about his or her employees, whether or not they are registered as users. Personal data is also collected and updated from third parties, public authorities and other bodies providing services relating to personal data, and payroll services. Data of users who have not registered themselves will be processed and protected in the same way as data of users who have registered themselves. The employer is obliged to contribute to the security and privacy of employees. Information from third parties which is used in the Service and linked to user data is treated and protected in the Service in the same way as information provided by users themselves.

 

5. Disclosure of information

Personal data is disclosed to service providers who process personal data on behalf of Odeal Oy in accordance with the confidentiality and data protection obligations of the contract.

Personal data may also be disclosed to the extent permitted and required by applicable law, for example to public authorities entitled to receive the data.

 

6. Retention period of personal data

Personal data will be kept for as long as necessary for the purposes for which the personal data collected are used, up to a maximum of 10 years from the last occasion on which the data subject used the data, unless the data subject has withdrawn any consent he or she may have given. Personal data may be kept for a longer period if this is necessary to comply with an obligation imposed by law or other source of authority, such as accounting law.

 

7. Protection of the register

The register is stored on a secure server, accessible only by the controller and technical administrators authorised by the controller.

 

8. Rights of the data subject

The data subject has the right to request the controller to access personal data concerning him or her, the right to request rectification, restriction of processing or erasure of personal data and the right to object to the processing of his or her personal data. The data subject also has the right to receive the personal data concerning him or her in a commonly used, machine-readable format and the right to transmit such data to another controller. Where technically feasible, the data subject has the right to have the personal data transmitted directly from one controller to another.

 

9. Right to lodge a complaint with a supervisory authority

The data subject has the right to lodge a complaint with the competent supervisory authority if Odeal Oy has not complied with the applicable data protection legislation.

Odeal terms of use

1 § The user of the service is the person who performs the work and agrees directly with the client, the customer, on the tasks to be performed and the pricing.

Odeal refers to the billing service Odeal Oy or subsidiaries of the Odeal group.

2 § As a general rule, Odeal does not market or sell the work of users of the service. Any roof marketing and other promotional activities will be agreed with the users of the Service on a case-by-case basis.

3 § Before using the service, the user must create an account on the laskuta.odeal.fi website/online service. The registration is successful when Odeal confirms it by e-mail or otherwise. The creation of a login is always free of charge and does not bind the user in any way. Income earned by a self-employed person (hereinafter referred to as "self-employed person") with a business and community identifier (hereinafter referred to as "business identifier") from his/her business activity cannot be processed or paid to him/her through a billing service company as a salary.

4 § Odeal takes care of the data protection of its users in accordance with the obligations of the Personal Data Act and the Electronic Communications Data Protection Act. As a rule, we collect personal data from the data subjects themselves. Personal data is also collected and updated from third parties, authorities providing services concerning personal data and other public authorities, as well as from parties related to the payment of salaries. Data of users who do not register themselves will be processed and protected in the same way as data of registered users. Information from third parties that is used in the Service and combined with user data will be treated and protected in the Service in the same way as information provided by users themselves.

5 § The user of the service shall settle any disputes concerning his/her work directly with his/her principal. If the employee is unable, unwilling or otherwise unable to correct the error caused by him, Odeal shall be entitled to correct the incorrect work and to recover the costs from the employee. This therefore applies to errors, not to situations where the employee fails to complete the work.

6 § The users of the Service are insured against accidents. In addition, Odeal has liability insurance up to EUR 1,000,000 to cover any personal injury or damage to property caused to a third party, in accordance with the terms and conditions of the insurance. The insurance does not cover damage caused by unprofessional work. There is also legal expenses insurance covering legal costs up to EUR 40 000. If your profession is supervised by a public authority, you must provide sufficient documentation of your professional qualifications.

§ 7 The invoice price shall be determined by the employer in such a way that the remuneration determined on it does not conflict with the minimum wage regulations or any collective agreement applicable in the sector. Odeal reserves the right not to accept the assignment.

8 § The user of the service must comply with the health and safety regulations. He is also responsible for the correctness of the tax-free reimbursement of expenses and other expenses declared by him. Expense receipts must be submitted at the latest at the time of payment. Odeal reserves the right not to accept expense receipts.

9 § Odeal will pay the service user when the service provider's payment has been received in our account or as agreed by us. The salary is paid when all the necessary information (payroll, distribution of the salary, travel invoices, receipts, etc.) has been provided. The amount of the invoice, net of VAT, is reduced by the service charge in force at the time, statutory contributions and insurance and personal withholding tax. The employee will be provided with a pay slip and, if necessary, any other certificates for the employment office or trade union. The wages and allowances to be paid are agreed in accordance with the contract and are lump-sum payments. For the sake of clarity, it should be noted that the worker is not required to declare or pay his wages to anyone.

10 § The Service User is not entitled to enter into hire-purchase, subcontracting or credit agreements on behalf of Odeal, nor to make purchases on account in the name of Odeal, unless otherwise agreed. The spirit of the agreements concluded by the Service Users shall be such that Odeal is the billing service company, the operator and the Contractor is responsible for its own contractual obligations. 

Minors, persons under guardianship and users declared to be under the age of majority.

Users under the age of 18 need to have a guardian's consent to use the Service and we also recommend that the minor discusses the privacy policy with his or her guardian(s) before using the Service. A user who has been appointed a guardian may need the consent of his or her guardian to use the Service, and we also recommend that the guardian discuss the privacy policy with his or her guardian before using the Service. A user who has been declared incompetent will need the consent of his or her guardian to use the Service and we also recommend that the user who has been declared incompetent discusses data protection with his or her guardian before using the Service.

11 § The service fee is 2-5% of the invoice amount net of VAT. The service charge shall be debited directly from the invoice when the salary is paid. The service charge is regressive and depends on the total invoiced by the service user. The service charge is a percentage, but always at least EUR 15 of the payroll. In addition, we charge the light entrepreneur an industry-specific insurance contribution and a statutory sickness insurance contribution (1.16% in 2024). 

12 § Odeal receives your tax withholding information directly from the Tax Administration, so you do not need to submit a tax card separately. The up-to-date tax card is automatically checked with each payroll payment.

13 § The right to deduct individual purchases of more than 500 euros must be agreed with the administration. As a rule of thumb, the cost of materials used for the work will be reimbursed against receipts. As a general rule, equipment, machinery and long-term tools should be deductible in your own tax return, since when deducted through the invoicing service they become part of its accounting ownership.

14 § You cannot charge for drone photography through Odeal.

Use of the Service constitutes acceptance of and agreement to comply with the then-current Terms of Use.

Odeal Oy reserves the right to make changes by notifying the user by e-mail or through the Service.
